What will be your purpose?


The Belong Experience and Enablement Specialist will take a hands-on approach to enriching the employee experience for all Belongers through process implementation and driving initiatives to create a culture where our people are able to readily access information to self-serve and provides solutions to problems that will maximise impact for our people, through dedicated one-on-one support.

Currently, the business heavily relies on a select few individuals to provide multi-disciplinary support to the different lines of businesses. In addition, there has been an increased need for support services to provision various aspects of the business as identified by stakeholders across Belong. This requires a detailed understanding of numerous processes including financial procedures both, internally within Belong and Telstra, and externally with numerous vendors that are engaged to deliver goods and services.

Working across Belong, you will create, manage and organise information that reduces vulnerabilities, speed up responses, and boost overall employee experiences.

As part of the BXE team your key responsibilities will include:

  • Maintaining the Melbourne Office by acting as Belong’s Building Management Liaison Officer (BMLO) which includes general maintenance of the floor (ensuring things are kept tidy and no obstacles/impediments), OH&S as instructed by Telstra, managing/organizing the storeroom, mail outs, procuring stationery orders and upkeep, and managing/ordering stock inventory by working with our Brand Lead.
  • Being the SME for internal procurement systems including general ad-hoc queries with our Belong Finance Team for operational reporting. Guiding and assisting Belong staff with raising Purchase Orders in the Aperion System and Statements of Work in Fieldglass, acting as the liaison between the Customer Assistance Care Team (CAC) and enriching the employee experience by teaching, assisting, creating guides and steering employees on the correct processes to follow.
  • Driving the on-boarding program by working with the IT Admin within the BXE Team through managing and updating central repository, guiding People Leaders as necessary, distributing welcome e-mails, update of the ‘New to Belong’ SharePoint site, and making it a super, consistent experience for all incoming employees!
  • Working with our Internal Communications person(s), to brief Belongers on any building related communications that come via Telstra.
  • Working with Telstra to identify Fire Warden Training and other relevant training as needed for Belong.
  • Orchestrate action through tickets raised across the business through Jira in a friendly, timely manner.
  • Manages the Gallup Strengths Portal to distribute codes to new employees, create team grids, edit teams, updates with adding/removing personnel and other ad-hoc queries.
  • Maintaining staff lists and documentation such as the central employee repository, managing and updating distribution lists, updating trackers for the Gallup Strengths Portal and other ad-hoc documents as needed.
  • Distributing communications as needed from company mailboxes and updating/maintaining meeting invites.
  • Working with other members of the Culture Team in various projects to help support logistics, event management, ordering of catering, etc., as needed.
  • Establish new ways of working and/or finds tangible solutions to problems.

You must be Melbourne based, or willing to relocate.

What will you bring?

  • Extensive experience with being able to organize, compile, assess/understand data and complicated information.
  • Extensive experience in Office 365 suite tools: Word, PowerPoint, Excel, OneNote, SharePoint, OneDrive, Microsoft Teams, etc.
  • Extensive experience in business administration or related industry.
  • Experience and/or knowledge in dealing with procurement systems, handling purchase orders, invoices, contracts and/or statements of work.
  • Exposure or willing to learn operational based activities in maintaining an office.
  • Exposure or willing to learn how to use Atlassian Tool Suite: Confluence, Jira, etc.
  • Exposure or willing to learn new systems, processes and tools.
  • Experience with different stakeholders in an agile, matrix style environment.
  • Ability to manage multiple activities and issues across numerous projects in a high paced environment.

Desired qualifications

  • Secondary qualifications and/or 4-5+ years' experience in an administration/support project specialist/coordinator role(s). Tertiary qualifications would be desirable, particularly in Information Technology (I.T), Human Resources, Communications/Media, Social Sciences, Arts and/or Business Management/Administration.
  • Industry certifications (would be desirable), including or relating to:
    • Project Management.
    • Agile, such as Scrum Master and/or other.
